Event planning and decor items:

1. Quotation Validity

All quotations are valid for 30 calendar days from the date of issue unless otherwise stated.

2. Booking Confirmation

A booking will only be confirmed once:

  • The signed quotation or acceptance has been received; and
  • The required booking deposit has been paid.

    Until these requirements have been met, NTE4’s Inside Story reserves the right to accept another booking for the requested date.

    3. Booking Deposit

    A 50% booking deposit of the total quoted amount is required to secure the event date and reserve the hired items.

    This deposit is non-refundable, as it covers administrative costs, planning time, procurement of materials, reservation of stock, and the commitment of resources exclusively for your event.

    Should the Client cancel the booking for any reason, the booking deposit will be forfeited. However, at the sole discretion of NTE4’s Inside Story, the deposit may be transferred to a new event date if sufficient written notice is provided and the requested date is available.

    4. Final Payment

    The outstanding balance must be paid in full no later than 10 working days before the event date or prior to the collection of hired items.

    Failure to make payment by the due date may result in the cancellation of services or the release of the reserved booking without refund of the booking deposit.

    5. Ownership of Hire Equipment

    All décor items, furniture, equipment, props, and accessories remain the sole property of NTE4’s Inside Story at all times.

    The Client acquires only the temporary right to use the hired items for the agreed event period.

    6. Loss, Damage or Theft

    The Client accepts full responsibility for all hired items from the time of delivery or collection until they are returned and inspected by NTE4’s Inside Story.

    Any items that are lost, stolen, damaged beyond reasonable wear and tear, or returned in an unusable condition will be charged at the full replacement value, including any associated transport or procurement costs.

    7. Care of Equipment

    All hired items must be handled with reasonable care and protected from weather, misuse, fire, wax damage, stains, pets, children, and any other conditions likely to cause damage.

    8. Delivery, Collection & Access

    The Client is responsible for ensuring safe and unrestricted access to the venue for delivery and collection at the agreed times.

    Any delays caused by venue restrictions, inaccessible locations, or waiting time may attract additional charges.

    9. Cancellation Policy

    Should the Client cancel the booking:
  • The booking deposit remains non-refundable.
  • Any additional expenses already incurred specifically for the event will also be payable.
  • Refunds, where applicable, will be considered only at the discretion of NTE4’s Inside Story.

    10. Changes to Bookings

    Requests to amend dates, quantities, or hired items are subject to availability and must be made in writing.

    Additional charges may apply where changes require extra labour, transport, or procurement.

    11. Force Majeure

    NTE4’s Inside Story shall not be held liable for delays or failure to perform services due to circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather conditions, civil unrest, government restrictions, power failures, pandemics, or acts of God.

    12. Acceptance

    Payment of the booking deposit constitutes acceptance of these Terms and Conditions by the Client.

    I also recommend adding three clauses that most professional event companies include:
  • Photography & Marketing Consent: Unless the client requests otherwise in writing, NTE4’s Inside Story may photograph completed setups for marketing and portfolio purposes.
  • Late Collection Fee: Any furniture or décor that cannot be collected at the agreed time due to client or venue delays may incur an additional collection or storage fee.
  • Jurisdiction: These Terms and Conditions shall be governed by the laws of the Republic of South Africa.
